Sydney Pole: Automating Sub Management with NetGym
Customer: Sydney Pole
Modality: Pole Dancing
Challenge: Efficiently managing a large number of subs across 9 locations and 100+ instructors
Sydney Pole’s Background
For Sydney Pole, renowned for its pole dancing classes across Australia, the task of finding substitute instructors was once a daunting, time-consuming challenge. Their group fitness manager, Suzie Q, described the old process of finding subs as heavily reliant on manual processes. “Before NetGym, getting covers was a little bit of a nightmare. There was one person pretty much devoted full time to chasing covers.” It proved to be inefficient and manual, relying heavily on picking up the phone and other forms of one-off communication to find a cover.
The NetGym Solution
Automated Sub Notifications
NetGym introduced automated sub notifications, so Suzie Q no longer had to call instructors individually and ask for their sub availability. Instead, instructors could send out a sub request on the NetGym app, and certified instructors would be notified. Once a sub picks up the class, Suzie Q receives an email that the class is covered, and the MindBody schedule automatically updates. Before class, the sub also receives automated sub reminders so management doesn’t need to worry about subs forgetting to show up.
Now that we have NetGym, instead of calling everybody in my phone book and begging, I just get an email notification that the class has been covered and that our schedule in MindBody has been updated automatically.

Integration with MindBody
NetGym’s integration with Sydney Pole’s scheduling system, MindBody, has automated the sub management process, eliminating manual steps, enhancing studio efficiency and reducing the potential for human error in the schedule.
Positive Impact and Experience
Time-Saving and Enhanced Efficiency
The implementation of NetGym at Sydney Pole has saved significant time for Suzie Q and her team, allowing them to focus on other critical aspects of studio management rather than sub coordination.
Support Across Continents
Despite being in different parts of the world, Suzie Q has praised the support from NetGym founders Danny and Danielle for their responsiveness and openness to feedback and suggestions for improvements.
Suzie Q and the Sydney Pole management team consider NetGym a “total game changer” for their studios, highlighting its impact on simplifying and enhancing their instructor sub-process.
Wrap-Up: Smoother Ops, Better Classes
NetGym’s introduction at Sydney Pole has radically improved the way they manage subs across their studios. With automated notifications and a seamless integration to Mindbody, NetGym has not only streamlined their sub processes but also enabled the team to focus more on the quality of their classes and less on admin tasks, leading to improved operational efficiency and enhanced staff coordination.
